Event Coordinator

$150,000 USD/year·New York City·On-site · Full-time (40 hrs/week)

The best events don't feel like events. They feel like the most successful people in the room decided to spend an evening together, and everything just worked. If you obsess over the details nobody notices — the seating, the timing, the follow-up email that goes out before anyone thinks to ask — this is your role.

Founders School is a 4-year high school program where teenagers build real companies targeting $1M in profit by graduation. The program launches in New York City in Fall 2026 with 20 students, scaling toward 1,000. Our families are among the most successful and discerning people in the world, and every event — from a 200-person info session to an intimate founder dinner — is a chance to earn or lose their trust.

You will own every event Founders School runs. Info sessions that convince a skeptical billionaire to apply. Parent events that turn enrolled families into evangelists. Mentor visits that connect our students to people worth meeting. And our Founders Weekends in NYC — the flagship experiences that show families and prospects exactly what this program is. You make all of it happen, flawlessly, on time, on budget.

What you will be doing

  • Owning the full lifecycle of every Founders School event — info sessions, parent events, mentor visits, and Founders Weekends — from concept and budget through venue, catering, logistics, run-of-show, and day-of execution.

  • Sourcing and managing vendors: venues, catering, AV, transportation, hospitality — negotiating well and holding them to a high standard.

  • Running the guest experience end to end: invitations, RSVPs, seating, name tags, welcome flows, and the thoughtful touches that make attendees feel taken care of.

  • Building the repeatable event playbook — checklists, timelines, vendor lists, and templates — so every event gets sharper and the program can run more of them as it grows.

  • Coordinating closely with enrollment, the school heads, and marketing so every event ties directly to the relationships and outcomes that matter.

  • Being on-site and on your feet during events, solving problems in real time before anyone else notices there was one.

What you will NOT be doing

  • Running generic corporate events off a template. Every Founders School event is designed to move a specific family or relationship forward.

  • Handing off the hard parts. You own the vendor who flaked, the headcount that changed at the last minute, and the timing that slipped — and you fix them.

  • Waiting to be told what needs doing. You see the gap and you fill it.

  • Designing the program or owning family relationships. Enrollment owns the families; the school heads own the program. You own the experience.

What this becomes

At 6 months, you've run the full slate of fall info sessions and parent events without a single logistical failure, and you've built the vendor relationships and playbook that make the next one easier than the last. You've delivered at least one NYC Founders Weekend that families and prospects talk about afterward — the kind of event that helps close enrollments on its own — and the school heads and enrollment lead trust you completely with the details, so their time stays on relationships and program, not logistics.

At 12 months, Founders School's events run as a system you own — a predictable calendar, a repeatable playbook, and a reputation among families for events that are genuinely excellent.

As the program scales toward 1,000 students and multiple cities, you build and lead the events function — hiring a team, standardizing the playbook across campuses, and setting the bar for what a Founders School event feels like everywhere.

Candidate requirements

  • You have planned and executed high-touch, high-stakes events before — in hospitality, luxury, private events, venture, or a founder's office — and things did not fall through the cracks on your watch.

  • You are relentlessly organized and detail-obsessed. You keep dozens of moving parts straight, anticipate what goes wrong, and have a plan B before you need it.

  • You are calm and resourceful under pressure. When something breaks 20 minutes before doors open, you solve it without drama.

  • You are comfortable representing a premium brand to extraordinary people. You have great taste and great judgment about what "excellent" looks like.

  • You are comfortable using AI tools in your daily workflow to move faster and stay organized.

  • You are located in or willing to relocate to New York, NY.

  • You are legally authorized to work in the United States.

Nice to have

  • Experience with events for high-net-worth or VIP audiences.

  • Experience in education, edtech, or programs that work with families.

  • Vendor and venue relationships in the NYC market.

  • Familiarity with event and CRM tools (e.g. Gatsby, HubSpot) and project-management tools.

If you obsess over the details nobody notices and want to own every event a premium program runs for the most discerning families in the world, this is the seat to do it from.
